For the 2010 Southern Exposure Retail & Foodservice Conference & Expo, all reservations will be booked through the SE Produce Council Housing Bureau. Please read the information below carefully as you will need to book your reservation via the following methods in order to receive the discounted group rate for the 2010 Conference. Please note that only one reservation can be booked per registrant.

Reservation Deadline
Book your reservation by Tuesday, February 2, 2010 by 5:00 p.m. EST to receive the SE Produce Council discounted room rate. The Housing Bureau will remain open through February 25, 2010 but cannot guarantee the discounted rate or availability after February 2, 2010. Please do not contact the hotels directly for changes or cancellations until February 26, 2010 as they will not have your reservation in their system until then.
Housing Information and Change/Cancellation Policies
· Acknowledgements of reservation request will be sent after each reservation form is received/processed, as well as each time a reservation is modified/changed and/or cancelled. For online registration/housing, acknowledgement is immediate. For faxed/mailed forms, acknowledgements will be sent within 2 business days of completion of processing. Please review acknowledgements carefully for accuracy. If you do not receive an acknowledgement within 14 days of submission, please contact the SE Produce Council Housing Bureau via fax 813-218-3369 or e-mail, Housing@VisitTampaBay.com.
· Reservations are processed on a first-come, first-served basis. Availability may be limited at hotels.
· All hotels require a credit card guarantee of one night's room and tax with each reservation request. Housing forms received without a valid credit card will be returned and will not be processed. Credit cards must be valid through February 28, 2010 in order to be considered a proper guarantee.
· All hotel room rates are subject to applicable state and local taxes in effect at the time of check-in (currently 12% - subject to change without notice).
· Though the SE Produce Council Housing Bureau will stay open through February 25, 2010, cancellations can be made without penalty until February 2, 2010. After this date, a $25 processing fee will be charged. Cancellations within 72 hours of arrival are subject to forfeiture of first night’s deposit. New Reservations, cancellations or changes must be made by email, fax or mail to the SE Produce Housing Bureau through February 25, 2010. After this date, direct all changes to the designated hotel.
· Please note the Tampa Marriott Waterside Hotel & Marina requires a three night minimum stay.
· Make sure to book your hotel reservation within the appropriate description listed online or on the hotel reservation form (Exhibitor, Non-Exhibitor Attendee, Retail or Foodservice). The blocks of Retail and Foodservice will be monitored daily to ensure the correct registrants are within this block. If you have booked a reservation into either of these two blocks incorrectly, your reservation will be moved out of this block and possibly into an alternative hotel.
